Workplace Strategy for a Learning Environment

Background – a workspace that fosters learning and collaboration
Sanoma Utbildning is one of Sweden’s leading education companies, dedicated to developing and spreading knowledge.
When the organisation decided to leave its former premises, it saw an opportunity to create a work environment that not only met current needs but also actively supported its mission: to promote learning, collaboration, and innovation.
To realise this vision, Sanoma required a comprehensive workplace strategy – from strategic planning and location search to lease negotiation, design, and relocation. Here, WeOffice became a trusted strategic partner throughout the entire process.
The challenge – more than just a new office
Sanoma faced several key challenges in developing a future-proof hybrid office:
An office that reflects the mission.
The new workspace needed to support knowledge sharing, creative collaboration, and continuous learning.
Structure and planning.
A clear workplace strategy was needed to define how spaces could best support both focused work and interaction.
Sustainability.
Material choices and interiors had to reflect reuse, circularity, and long-term thinking.
Tight timelines.
The transformation had to be completed efficiently, without compromising on quality or functionality.
In short, the goal was a flexible, sustainable, and identity-driven workplace for the future.
The journey with WeOffice – from analysis to completion
Step 1: Evidence-based workplace strategy
The project began with a thorough analysis based on the Workplace Adequacy™ Framework.
By mapping Sanoma’s organisational needs, work processes, and long-term goals, WeOffice created an evidence-based strategy guiding the office’s layout, zoning, and the balance between collaborative and focus spaces.
The outcome: a learning-oriented workplace that inspires people while supporting Sanoma’s mission to share knowledge.
Step 2: Location search and lease negotiation
Once the strategy was established, WeOffice assisted Sanoma in identifying suitable locations and negotiating lease terms.
This structured process ensured that the chosen premises met both functional and financial requirements, providing a solid foundation for design and implementation.
Step 3: Sustainable design and interior
During the design phase, the focus was on longevity, sustainability, and user experience.
Through the reuse of materials, environmentally responsible choices, and precise planning, WeOffice created a flexible environment featuring open areas, meeting rooms of various sizes, and quiet zones.
The interior design was guided by behavioural goals: to encourage collaboration, enable concentration, and stimulate creativity – while remaining true to Sanoma’s brand and values.
Step 4: The client’s perspective
Ingrid Ahotupa, Commercial Manager for Sanoma Sweden and Office Manager at Sanoma Utbildning, describes the experience:
“When our lease was coming to an end, we needed more than just a new location – we needed a well-thought-out strategy. Thanks to the support we received throughout the process, we have created an environment that truly supports our way of working. We’ve been able to focus on our core mission – spreading knowledge – instead of troubleshooting office or technology issues. And we met our tight schedule, which was a huge relief.”
The transformation in practice – a learning-centred workplace
Sanoma’s new office successfully combines functionality, flexibility, and identity:
Culture: A workplace that reflects Sanoma’s values and strengthens its organisational identity.
Flexibility: A thoughtful mix of open areas, meeting rooms, and quiet zones.
Sustainability: Reuse and environmentally friendly material choices throughout.
Well-being: Bright, modern spaces with social zones that promote interaction.
Efficiency: Smart technology and planning enabling seamless hybrid collaboration.
The result – a workplace that supports learning and collaboration
The new office is not just a place to work – it is a strategic asset that strengthens both the organisation and its people.
The key outcomes:
Comprehensive: From strategy to move-in – a seamless process ensuring quality
Right-sized and future-ready: Designed to meet evolving needs.
Diverse and inclusive: Spaces for collaboration, focus, and well-being.
Sustainable: Environmentally and financially conscious choices.
Attractive: Fosters engagement, pride, and belonging.
